By accessing or using Rapid Rota, you agree to be bound by these Terms and Conditions.

2.1. You must be at least 18 years old to create an account and use Rapid Rota.
2.2. You are responsible for maintaining the confidentiality of your account credentials and all activity under your account.
2.3. You agree not to use Rapid Rota for unlawful purposes or in violation of applicable laws, regulations, or NHS data governance requirements.
2.4. You agree not to attempt to interfere with or gain unauthorized access to the platform, its systems, or other user accounts.
3.1. Rapid Rota provides cloud-based rota planning and workforce management tools for healthcare organisations.
3.2. Optional integrations are available, including synchronisation with Google Calendar to assist users in viewing and managing their shift schedules.
3.3. We reserve the right to modify, suspend, or discontinue any part of the service, including integrations, at any time with or without notice.
4.1. Access to certain features may require a paid subscription. Fees and billing cycles are detailed at the time of purchase or contract.
4.2. Subscription fees are non-refundable unless otherwise stated in our Refund Policy.
4.3. We reserve the right to modify pricing or plans, with notice provided before renewal.
5.1. We handle your personal information in accordance with our Privacy Policy, which forms part of these Terms.
5.2. By using Rapid Rota, you consent to the collection and processing of data required to provide, improve, and secure our services.
5.3. Aggregated or anonymized data may be used for analytics and service improvement.
6.1. Rapid Rota provides optional integration with certain Google services, including Google Calendar. This integration is subject to:
6.2. When you connect your Google Account, you grant Rapid Rota permission to access limited data through the Google Calendar API as described in our Privacy Policy.

6.5. Access is used only to create, update, or delete Rapid Rota–generated events for rota synchronisation.
6.6. Stored data (e.g., event IDs, sync tokens) is encrypted in transit and at rest, retained only while the integration remains active, and deleted immediately when you disconnect Google Calendar or request account deletion.
6.7. You may revoke Rapid Rota’s access at any time via your Google Account permissions page or within the Rapid Rota interface.
6.8. Use of Google integrations is voluntary. Disconnecting does not affect your core access to Rapid Rota’s scheduling functions.
7.1. All content, software, and materials made available through Rapid Rota, including text, graphics, logos, trademarks, and source code, are owned or licensed by Tritos Medical Ltd.
7.2. You may not copy, modify, reproduce, distribute, or create derivative works based on any part of Rapid Rota without prior written consent.

9.3. We are not responsible for downtime, data loss, or connectivity issues resulting from third-party integrations (e.g., Google services).
10.1. To the fullest extent permitted by law, Tritos Medical Ltd. shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of Rapid Rota.
10.2. Our total liability for any claim related to your use of the platform shall not exceed the total amount paid by you to us in the preceding twelve months.
10.3. Scheduling Accuracy Disclaimer: Rapid Rota assists with rota planning, but ultimate responsibility for schedule accuracy, staff coverage, compliance with working time regulations, and patient safety rests with the user or the employing organisation. We are not liable for losses, errors, or operational issues resulting from incorrect, incomplete, or misapplied scheduling data, including but not limited to missed shifts, overlapping assignments, or timing discrepancies arising from user input or integration sync delays.
10.4. Users must review and verify all generated rotas, exported schedules, and calendar data before use in a clinical or operational setting.
11.1. You may terminate your account at any time by following the account closure process or contacting support.
11.2. We reserve the right to suspend or terminate access if you breach these Terms or engage in unlawful activity.
11.3. Upon termination, your access to integrations (including Google Calendar) will cease, and any stored metadata or tokens will be deleted.
12.1. We may update or modify these Terms and Conditions at any time. Updates will be posted on this page with a revised date.
12.2. Continued use of Rapid Rota after updates constitutes acceptance of the new Terms.
13.1. These Terms and Conditions are governed by and construed in accordance with the laws of Northern Ireland.
13.2. Any disputes shall be subject to the exclusive jurisdiction of the courts of Northern Ireland.
