Rapid Rota provides an optional integration with Google Calendar so users can view and synchronise their rota or shift schedules. Connection is made only after the user explicitly grants permission through Google’s OAuth consent screen.

Minimal metadata (calendar ID, event ID, and sync token) is stored on secure UK-based servers to support ongoing synchronisation. This information is encrypted in transit and at rest and deleted automatically when you disconnect Google Calendar or request deletion of your account data.
We do not share or sell Google user data to any third parties. Data is processed only within our secure infrastructure to deliver the calendar synchronisation feature.
You can revoke Rapid Rota’s access at any time from within the application or through your Google Account permissions page. When access is revoked, all stored tokens and related metadata are immediately deleted.
If Rapid Rota changes the way it accesses, uses, or stores Google user data, this section will be updated, and users will be notified in-app before any material change takes effect.
When you set up a department in Rapid Rota, you can choose to have us read an existing rota — pasted or uploaded as a spreadsheet — or a description of your ward written in your own words, so that your shifts, staff and staffing levels are filled in for you instead of being entered by hand.
To interpret that material we use a third-party large language model provider, Anthropic, which processes the content you supply on our behalf as a subprocessor.
The material you provide at this step may contain personal data about your staff, including their names, working patterns, contracted hours, and recorded absences. Where you paste or upload a rota, assume that anything visible in that sheet may be sent for processing.
This feature is optional and is never used unless you choose it. You can complete setup entirely without it by using the standard setup forms, which involve no AI processing at any point. Nothing is sent for processing until you actively start the setup read.
We process this data on the basis of legitimate interest in providing an accurate and efficient setup process, and, where we act as processor for your organisation, on your documented instructions under our Data Processing Agreement.
